Privacy Policy

1. Scope

This policy applies to the Chadence public website, member accounts, account authentication, payments, customer support, private written content, protected media, Digital Keys, account controls, and recovery backups. Member content is tied to the member’s account and is not publicly accessible by default.

2. Information Chadence collects

Chadence collects information when someone creates an account, signs in, purchases a membership or add-on, contacts support, enters a Digital Key, or uses a Chadence feature. This may include:

• Name, email address, account identifiers, and authentication information.
• Stories, photographs, audio, video, documents, wishes, recipient assignments, access instructions, and Digital Key information.
• Membership, transaction, storage, support, consent, security, and account activity records.
• Technical information such as IP address, browser or device information, timestamps, requested pages, authentication events, and security logs.

Chadence collects only information reasonably needed to provide, protect, support, and improve the service.

3. Payments and authentication

Stripe processes payment and billing information for Chadence purchases. Chadence receives the customer and transaction information Stripe makes available, but Chadence does not receive or store full payment-card numbers.

Supabase provides account authentication. It processes account identifiers such as the member’s email address, user ID, authentication events, and the name or profile information the member provides.

4. How information is used

• Provide accounts, storage, playback, Digital Key access, legacy delivery, account recovery, and customer support.
• Authenticate members, respond to verified recovery requests, protect accounts, prevent fraud, and investigate misuse.
• Process memberships and payments through approved payment providers.
• Maintain backups, service availability, accessibility, and file continuity.
• Meet legal, tax, accounting, safety, and regulatory obligations.

Chadence does not sell personal information, sell personal memories, or use private legacy content for advertising or cross-context behavioral advertising.

5. Service providers and disclosures

Chadence uses service providers for hosting, storage, recovery backups, authentication, email, security, malware scanning, customer support, and payments. These providers receive information needed to perform their assigned services and handle that information under their own privacy and security obligations.

Information may also be disclosed when legally required, when reasonably necessary to protect a person or the service, during a legitimate business transaction with appropriate protections, or when the user directs or consents to the disclosure.

6. Security and backups

Chadence uses safeguards designed to protect information, including encrypted connections, authenticated account access, account-scoped records, protected object storage, upload quarantine, malware scanning, account controls, and a separate recovery-backup path.

No system can promise absolute security or permanent preservation. Members should keep independent copies of irreplaceable originals and protect passwords and Digital Keys from unauthorized access.

7. Retention, deletion, and export

Chadence keeps account and legacy information while an account is active and for as long as reasonably necessary to provide the service, protect users, maintain recovery backups, resolve disputes, prevent fraud, and meet tax, accounting, or legal obligations.

Members can export account records and request permanent account deletion through the dashboard. Active account content is removed through the deletion process. Limited records may be retained when required for fraud prevention, disputes, accounting, or law, and protected backup copies may remain until they are removed through the normal backup-rotation process.

8. Privacy choices and rights

Depending on applicable law, a person may have the right to know, access, correct, delete, restrict, or obtain a copy of personal information, limit certain uses of sensitive personal information, appeal certain privacy decisions, and exercise privacy rights without unlawful discrimination.

Chadence provides account export and deletion controls. Other privacy requests may be sent to the email address below. Chadence may need to verify the requester’s identity before discussing, changing, exporting, or deleting personal information.

9. Essential cookies and sessions

Chadence may use essential cookies or similar session identifiers to keep members signed in, protect accounts, remember necessary choices, and operate the service. Chadence does not use private legacy content to build advertising profiles.

10. Age requirements

Chadence accounts and member features are intended for adults age 18 or older. A person under 18 may not create an account or submit personal information through member features. Chadence is not directed to children under 13 and does not knowingly collect personal information online from children under 13.

If Chadence learns that a child submitted personal information without appropriate authorization, Chadence will review the information and take appropriate steps to remove it.

11. United States operation and policy changes

Chadence LLC operates from the United States. Information may be processed in the United States and in locations where Chadence service providers operate. Availability and privacy rights may vary by location.

Material changes to this policy will be dated and communicated when required. Private legacy content will not be used for a materially different purpose merely because this policy changes.

Do not email passwords, Digital Keys, identity documents, financial information, private health information, or irreplaceable memory files. If identity verification is required, Chadence will explain a safer method for providing the necessary information.
